For physical shares, almost everything, from a KYC update to transmission after a death, goes to the company's registrar and transfer agent (RTA), not to the company itself. Writing to the wrong one costs weeks.
Where to look
- The company's website: the investor or shareholder section usually names the RTA, with an address and email
- The annual report: the corporate governance report has a general shareholder information section listing the registrar. Use the latest report.
- Stock exchange pages: company announcements on BSE and NSE include changes of registrar
- Your old paperwork: dividend warrants and letters show the registrar at the time. Treat it as a lead, not an answer, because registrars change.
Why old paperwork may be wrong
Registrars merge and rename, and companies switch between them:
- TSR Consultants: , which served many Tata group companies, merged into Link Intime with effect from 22 December 2023
- Link Intime India: was renamed MUFG Intime India on 31 December 2024
- KFin Technologies (KFintech): was formerly Karvy Fintech
So a Tata company dividend warrant from 2015 naming TSR Consultants now points you to MUFG Intime.
